Monitoring and Co-ordination
As part of a total self-build project management package, Courtbarn Project Management can provide weekly monitoring of the project. We liaise with clients, the consultants within the Design Team, the builder, sub-contractors and suppliers to ensure the smooth day-to-day progress of the build.
We would manage the flow of information from the consultants to the appropriate contractors and report problems encountered on site back to them. All progress would be monitored against the programmes issued by the contractors and incorporated in the contracts entered into with them.
On larger projects we would hold monthly site meetings with the consultants and contractors to discuss progress and any issues of design or specification which were causing or were anticipated to cause problems in the future. These meeting would also give the contractors the opportunity to advise us of any alterations to delivery dates which would impact upon the programme for the works.
Progress Reports
As part of a total project management package, we would provide the client with a monthly progress report. The report would consist of five stages:
- Stage One: An overview of the current position on site.
- Stage Two: A report on any design or technical issues arising from the design, explaining the nature of the issue, the consultant dealing with the issue, and the current position with regard to the resolution of the issue.
- Stage Three: The financial report, containing copies of the current budget and cashflow, together with certification of any payments due.
- Stage Four: A report on current progress indicating the number of weeks ahead or behind programme.
- Stage Five: On larger projects where monthly site meetings were taking place, a copy of the minutes would be enclosed.
These reports will ensure that those Clients unable to visit site or maintain regular contact with us, will have a complete picture of the project and be confident that their interests are at the forefront of every decision taken on their behalf.
Statutory and Service Co-ordination
One of the most difficult management requirements for self-builders is where they have to liaise and work with representatives of the local authority planning and building control departments, environmental health officials, factory inspectors, health and safety consultants and representatives of the utility companies.
Very often nowadays, these people are working under a great deal of pressure and it is essential to keep them on the client’s side. They have little interest in a project outside of their individual responsibilities. Delays to a project can emanate from any of these outside authorities, especially utility companies upon whom we are all dependant for our water, gas and electricity.
We will monitor progress during the planning process, ensure that building control are kept fully informed during the works, and carry out the specified inspections, liaise with the NHBC or Zurich with regard to warranties. Should any issues arise involving environmental health or health and safety during the works we would represent your interest in any discussions that take place. Most importantly, we would do everything within our power to ensure that the utility companies provide services to the build when required.
